Cash Box Requests
Cash boxes are lent out to various departments to store cash and make change for events on campus. Blank cash box requests form are stored in the filing cabinet as well as instructions for the requester. An iPod and Square processors are stored in the small filing cabinet beneath the cash drawer. Cash boxes are usually requested ahead of time. It is helpful to put a reminder on your Outlook calendar to put the box together the day before.
- Box Code is 3-6-1 for all boxes.
- Enter box/bag # on the request form.
- Place the requested cash in the box from the safe/vending boxes.
- Enter all other "out" information, then date and initial the form.
- Put registration form in the Pending folder in filing cabinet.
- If the person is new to cash box requests, be sure to give them some printed instructions. There are some in the folder in the filing cabinet and saved on the shared drive under forms.
- Store the box in the safe until it is picked up.
Cash Box Returns
- Take out the start-up cash according to the request form. Put the start-up cash back in the vending boxes.
- Count the remaining cash in the box. Make sure the amount matches the misc. income receipt.
- If there is a lot of cash, wrap it with the wraps in the drawer.
- Enter the misc. income receipt in Campus Vue.
- Initial the cash box request form and enter the cash-in amount (start-up cash requested), also indicate whether a card reader or bag was returned).
- File the completed form in the filing cabinet.
